Privacy Policy

1. Who we are

This Site is published by a licensed Kansas real estate salesperson under the supervision of Growth Ring Realty, the brokerage identified in the Site footer. “We” and “us” refer to that agent and Growth Ring Realty.

2. Information we collect

Information collected automatically

When you visit the Site, our servers (hosted by Google Cloud) automatically record standard request logs, including your IP address, the page requested, the date and time of the request, and browser and device information. These logs are used solely to operate and secure the Site and to detect misuse. They are retained by Google Cloud and automatically deleted after 30 days. We do not use this information to create profiles of individual visitors or for marketing purposes.

Cookies

The Site sets three first-party cookies:

• a security (CSRF) token that helps prevent unauthorized form submissions; and
• two session cookies that maintain a temporary session.

For ordinary visitors, the session cookies contain no personal information. For authorized staff, they maintain a signed-in state. All three cookies expire 120 minutes after the last page view.

The Site does not use advertising, analytics, tracking, or third-party marketing cookies. It does not load third-party scripts, fonts, or tracking pixels for advertising or analytics purposes.

Maps

On pages that display a map, your browser may retrieve map tiles from OpenFreeMap when you scroll near the map. OpenFreeMap receives your IP address and the geographic area requested. OpenFreeMap does not set cookies on the Site.

Information you provide

The Site contains three forms: a general contact form, a buyer inquiry form, and a seller inquiry form. These forms collect:

• your name and email address (required);
• a phone number (optional); and
• on the contact form, your message.

The buyer form also requests information about the property you are seeking (location, price range, number of rooms, desired features, and financing status such as “pre-approved”). It does not request income, loan amounts, or documents.

The seller form requests information about the property (address, type, size, condition, ownership status, whether it is currently listed, and your timeline).

None of the forms requests identity documents or other sensitive personal information beyond contact details and property-related information necessary to respond to your inquiry.

Form submission process

When you submit a form, the Site does not store the submitted information. The information is transmitted by email via Resend (our email delivery service) to our Google Workspace email accounts. A confirmation email is also sent to you. Contact form submissions are delivered to the office inbox; buyer and seller form submissions are delivered to the agent.

Telephone and text consent

If you provide a phone number, the form includes an optional checkbox asking whether we may contact you by telephone or text message regarding your inquiry. The checkbox is never pre-selected. Providing a phone number or consent is not required to submit the form or to receive a response by email. The email we receive records whether you provided consent and the exact language of the consent. You may withdraw consent at any time by replying “STOP” to a text message or by contacting us by phone or email.

Direct communications

If you contact us by email or telephone outside the forms, we receive the information you choose to provide and use it to respond and, where applicable, to provide real estate services.

3. How we use information

We use the information we collect only to:

• operate, maintain, and secure the Site;
• respond to inquiries and provide real estate brokerage services you request;
• comply with legal and regulatory obligations, including Kansas real estate record-keeping requirements; and
• detect, prevent, and address technical issues, abuse, or security incidents.

We do not use Site information for advertising, profiling, or the sale of personal information.

If you proceed to work with us, relevant details may be entered into the brokerage’s transaction management system, Transaction Desk (Instanet), provided by Lone Wolf Technologies, where transaction records and agreements are maintained.

4. Cookie consent

The three cookies used by the Site are strictly necessary for the secure operation of the Site and the maintenance of a temporary session. They are not used for advertising, analytics, profiling, or any non-essential purpose.

Because these cookies are essential to the basic functionality and security of the Site, we do not seek consent before setting them. Applicable U.S. and Kansas law does not require opt-in consent for strictly necessary cookies of this nature.

You may control or delete these cookies at any time through your browser settings. Blocking the security or session cookies may impair the functionality of forms and signed-in areas of the Site.

The Site does not currently use any non-essential cookies that would require a consent mechanism. If that changes, this Privacy Policy will be updated and an appropriate consent process will be implemented before any non-essential cookies are set.

5. How we share information

We do not sell or rent personal information, and we do not share it for advertising or targeted marketing purposes. Information is shared only with:

• Growth Ring Realty, which supervises licensed activity and maintains transaction records required by Kansas law;
• Lone Wolf Technologies, which provides Transaction Desk (Instanet), the brokerage’s transaction management system, when you engage our services;
• Google, which hosts the Site, stores data and logs, and provides email services via Google Workspace;
• Resend, which delivers transactional emails sent by the Site;
• OpenFreeMap, which supplies map tiles and receives IP address and map-area information when a map is loaded;
• service providers acting on our behalf solely to perform the services described in this policy; and
• parties to whom disclosure is required by law, regulation, legal process, or governmental request, or to protect our rights, property, or safety or that of others.

Kansas real estate brokers are required to retain certain transaction-related records for at least three years. These record-keeping obligations may require retention of information even if you later request deletion of other data.

6. Data retention

• Server logs are automatically deleted after 30 days.
• Cookies expire 120 minutes after the last activity.
• Form submissions and related emails are retained only as long as necessary to respond to your inquiry, provide the requested services, and comply with legal and regulatory record-keeping requirements.
• Records maintained in the brokerage’s transaction management system are governed by Kansas law and the brokerage’s internal policies.

When information is no longer required, it is deleted or de-identified in a secure manner.

7. Security

The Site is accessible only over encrypted (HTTPS) connections. Database content and photographs are stored on Google Cloud infrastructure located in the United States. Access is restricted to authorized personnel using approved accounts.

We implement reasonable administrative, technical, and physical safeguards to protect information under our control. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

In the event of a security breach involving personal information that, after investigation, is determined to have resulted or to be reasonably likely to result in misuse, we will provide notice to affected Kansas residents in accordance with the Kansas Consumer Breach of Security Act (K.S.A. 50-7a01 et seq.).

8. Your rights and choices

You may request:

• access to personal information we hold about you;
• correction of inaccurate information; or
• deletion of information, subject to legal and regulatory retention requirements.

You may also request that we stop contacting you by telephone, text, or email. For text messages, replying “STOP” is sufficient.

We do not currently send marketing emails. If we begin doing so, each message will include a clear unsubscribe mechanism, and we will process opt-out requests within ten (10) business days in accordance with the CAN-SPAM Act.

To exercise any of these rights, please contact us using the information in section 11. We will respond within a reasonable time and may need to verify your identity before fulfilling certain requests.

9. Photographs

When photographs of properties are uploaded, location metadata (EXIF GPS data) and camera details are removed prior to storage. Photographs of properties that are not being publicly marketed are not published on the Site.

10. Children’s privacy

The Site is not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13.

We will post any material changes to this Privacy Policy on this page and update the “Last updated” date. When the Site’s data practices change, this page will be updated first. We encourage you to review this Privacy Policy periodically.
